BEFORE REQUESTING YOUR SERVICE RECORD

Service Records are available once you have resigned and completed your duty schedule. The Service Record is prepared 30 business days after the end of the duty schedule.

If you request a service record for Certification purposes only, an incomplete service record will be provided to expedite your request. Please remember to provide the name of the University and email or fax of the recipient.

How do I get credit for my previous teaching experience?
The employee is required to submit an original teacher service record or equivalent document that verifies the number of years of teaching service claimed for salary purposes. If employment was at the college or university level then both the Teacher Experience Report and the College Verification form are required to be completed and submitted for review.


Does someone in HISD request the service record for me?
It is your responsibility to request the service record from your former school district or institution in order to get credit for salary placement purposes.


How do I request a service record from my former school district?
If you were employed in a Texas public school, contact the Human Resources department of the former school district and request that the original service record is mailed to you at your home address or other mailing address. Do not request the service record be mailed to HISD.

For all other schools/institutions, such as out-of-state schools, we will provide you with a Teacher Experience Report form for you to mail to the former school/institution to complete. If employment was at the college or university level then both the Teacher Experience Report and the College Verification form are required to be completed and submitted for review. Both of these forms are posted on the Human Resources page under Forms and Documents. These completed forms should be mailed to your home address.


Are copies or faxes of the service record acceptable?
Houston ISD requires original service records. A copy will only be accepted in place of the original if the copy has a notary seal/stamp from the former school district or has the school district seal.


What happens if I submitted the original service record when I was originally hired years ago?
If you are a rehire and you submitted the original service record years ago and HISD did not release the original service record to you, we will produce a copy from the database and stamp it as a copy of the original and use it for salary increment purposes. If our records indicate that the original service record was released to you upon your resignation, you are responsible for submitting an original service record at the time of rehire.


Is there a deadline for submitting service records?
Yes. Service records must be received by the Human Resources department of HISD no later than the last day of the first semester of employment for you to receive service credit for salary placement purposes for the current school year.


Will the salary adjustment be retroactive?
Salary placement based on prior experience, documented on the appropriate service record form, will be effective from either your date of hire (current school year) or the beginning of the school year, assuming submission is no later than the last day of the first semester of employment.


What happens if I miss the deadline for submitting service records?
If the service record is not received on or before the last day of the first semester of the school year, the adjustment will be made effective as of the pay period in which the service record is date stamped as received in the Human Resources department.


Does non-school or private practice nurse experience count for salary purposes?
Yes, if the non-school or private practice nurse experience was in a RN position and the nurse is currently employed by HISD as a school nurse. HISD grants one year of HISD experience for every two years of non-school based experience. No more than twenty years of total outside experience will be accepted. As a result, the maximum number of years that HISD will credit toward placement on the salary schedule is 10 years. Written verification from previous employers is needed prior to granting the experience.


Does private school or foreign teaching experience qualify for salary increment purposes?
The private or foreign school must be accredited by an agency recognized by the Texas Education Agency and meet the requirements established by TEWritten verification of the institutions accreditation status is required. Each service record is reviewed on an individual basis when submitted to HISD.


Do the ACP teachers qualify for prior service credit for salary increment purposes?
Yes, ACP teachers qualify for prior service credit for salary increment purposes. A service record is required for verification. Each service record is reviewed on an individual basis following the TEA guidelines.


What happens if I just realized that I'm paid for less experience than I actually have as a teacher?
You should contact the Compensation Department, at (713) 556-7323 and explain your concern. Your personnel file will be reviewed for all service records submitted to HISD and you will receive a response in a timely manner.


Does substitute teaching experience count?
Beginning with the 1998-99 school year, a substitute teacher may receive credit for years of substitute teaching experience for salary increment purposes provided that the teacher held a valid teaching certificate at the time the service was rendered and the teacher was employed in an entity recognized for creditable years of service and the minimum days employed were met.


Will I get additional salary for substitute teaching experience?
If the substitute teaching experience qualifies for salary increment purposes it will be added to your current years of teaching experience to place you on the correct pay step according to the current teacher salary schedule. If it places you on a higher step the salary adjustment will be effective the beginning of the school year the service record is submitted.


How do I verify substitute teaching experience?
The employee is required to submit an original teacher service record that documents the number of days of substitute teaching service for each school year. A similar form containing the same information may be substituted, but it must have the same information required on a service record.
