IT Checklist
Welcome to HISD!
Here’s a checklist of important things to do on your first day. A Technology Representative will be happy to assist you with the checklist and answer any questions you may have.1
Login to the HISD Network with your HISD Username and Password
· First login must take place on the HISD network, on an HISD device

Change your password
· Follow the prompts after logging into the computer to change your password.

Register for HISD Access (Self-Service for Password and Network Account Management)
· Change your password during the 90-day window
· Reset your password if it has expired
If your account is locked, it will automatically unlock after 15 minutes

Register for Two-Factor Authentication (2FA)
HISD is implementing Two-Factor Authentication (2FA) for all district employees to increase security and protect district data.
You will notice a prompt when accessing HISD resources away from the HISD network or full VPN. (OneSource, email, Teams, HISD Anywhere, etc). You will then use the Microsoft Authenticator app or your designated authentication method to enter a code and continue to your HISD resources.
§ If your account is locked, it will automatically unlock after 15 minutes

Open the myHISD portal (the HISD employee homepage) and identify the following applications:

Analytics for Education (A4E)
Analytics for Education (A4E) enables HISD's educators and administrators to monitor critical performance indicators from a variety of data sources in a single location, enhancing their ability to identify early warning signs and hidden growth opportunities and helping to ensure that all students avoid failure and reach their full potential. It empowers users and promotes information sharing and collaboration among teachers, principals, administrators and Board members.
A4E is made up of multiple dashboards, analyzers and reports that are refreshed at least daily from various data sources and organized around 5 primary audiences:- Teachers (Teacher Dashboard)
- Campus-based Instructional Support Staff (Achievement Dashboard)
- Principals (Principal Dashboard)
- Chief Academic Administrators (CSO Dashboard)
- Board Members (Board Member Achievement Dashboard)
Accessible from all but the Board Member Achievement Dashboard, the A4E Student Profile provides a 360° view of each student.
Contractor Network Accounts
HISD network accounts may be requested for contract employees and contract teachers. The HISD network account will allow the contractor to access the HISD network, email and allow other employees to grant access to them via SharePoint, and other HISD applications.EMAIL
Microsoft Outlook is a feature-rich email and calendaring system based on Office365 and is available to all staff and faculty at Houston ISD. Using the desktop client, an easy-to-access web interface or a mobile device, users can securely send and receive email messages and make calendar appointments from any internet enabled device. Email accounts are effectively protected from spam and malware.
Please Note:
HISD is sometimes the target of directed phishing attacks. These are normally in the form of an email that looks very professionally done, has no apparent errors and informs the you that HISD IT dept. or the District have made security changes and you should login to a website to verify these changes.
Please remember that HISD IT never asks for user log information to be verified or given out through email or websites.FastPass FastPass is an application that allows designated staff members to reset students passwords to the HISD network. Students should go to their campus FastPass designee to have it reset. HISD Access
HISD Access is Self-Service for Password and Network Account Management
HISD Access allows you to:

HISD Network Accounts: The District provides staff and students with a HISD Network account which allows them to access a variety of computing resources and online services.Shared Folders
Shared Folders are being moved to the cloud! Please note that all requests for new file shares will be created in the O365 cloud.SharePoint SharePoint is an online collaboration tool which allows HISD Staff to upload and share documents, create and share calendars, assign tasks and more via a centralized, online workspace. AIM (Teacher Appraisal System)
AIM (TADS) is a two part system which allows teachers and appraisers generate and maintain teacher development documentation.
Feedback and Development : allows appraisers to create and maintain feedback and development documents including teacher development plans, feedback forms, and conference forms. It also allows teachers to create, review, and acknowledge those same forms.Student Performance : allows appraisers to assign student performance measures to teacher's courses, review and approve goals teachers have set for their courses with progress measures, as well as finalize a teacher's performance level for courses with progress measures. It also allows teachers to view and acknowledge measures assigned to their courses, set students' starting points and goals for courses with progress measures, as well as record student scores from progress assessments and work products.
The HUB
The HUB is a central platform for teachers and students! The HUB is accessible from any device and from inside and outside the district.
TEACHERS CAN:- Utilize the HUB for at least one course (or one course per semester)
- Use either the HUB Planner or Course Tree for facilitating teaching and learning
- Build at least one lesson per cycle using a combination of appropriate HUB features, including notes, pages, links/files, discussions, tests, surveys, assignments, and/or custom activities
- Communicate, collaborate and share with peers in order to plan a lesson and engage in professional learning
STUDENTS CAN:
- Log in and access information in a course
- Access links and files via the HUB Planner or Course Tree
- Participate in a discussion board
- Submit an assignment online
- Participate in a survey
Campus Cloud Sites
(Document storage - SharePoint)
A Campus Cloud Site is an online collaboration tool which allows HISD Staff to upload and share documents, create and share calendars, assign tasks and more via a centralized, online workspace. This site will provide campus staff with fast, secure, online and mobile access to shared campus documents and resources. Each member of your staff automatically has access to the Campus Cloud Site and a site administrator may be appointed by the Principal usingiDelegate .Assistance is available via online resources, in-person workshops and via the IT Service Desk. HISD Connect HISD Connect is used by campuses to perform various functions including student registration, enrollment, attendance tracking and grade reporting. Office 365 Office 365includes access to multiple cloud applications like Outlook, Calendar, Sway, Forms and SharePoint online just to name a few. Open Forums and training sessions are hosted by the Technology Department to teach HISD Staff how to use Office 365 features. OnTrack OnTrack is the HISD Student Assessment platform that is used to administer the district, campus, and teacher level assessments that are used to monitor students' learning and make instructional decisions. OnTrack assessments may be administered online or via paper and scanned.

Analytics for Education (A4E) Automatic access: Teachers, Principals, Campus- and District-based Instructional Support Staff, Area Superintendents and School Support Officers have access to use this application based on job title. Others may request access. Supervisor and Area Superintendent approval is required according to Board Policy.
Access request: For additional access to this application please complete the A4E Access Request FormTraining: Not required EMAIL Office365 accounts are available 2-3 business days after employee network account creation. Access request not required. Training: Not required FastPass Access request: Principals designate campus FastPass agents via iDelegate. After the Principal designates who should have Fast Pass access via iDelegate, a ticket is automatically created and sent to the appropriate IT team for processing. Access can take 48-72 hours after the Principal submits the agents name via iDelegate. When access is granted, the designee will receive an email with instructions regarding how to update student passwords. Training video and Quick Reference Guide available Shared Folders (Departments) Owners of existing Shared Folders/Drives (usually managers) are responsible for sending all requests for member access by submitting a Shared Drive/Folder Access Request. Requests may take up to 3 days to process. Training: Not required SharePoint Site owners: submit theSharePoint Access Request Form. All required training must be completed prior to access being provisioned.
Site members: granted access by site owners- SharePoint Department Site (COURSE 71002) Required to become a Department site owner.
- SharePoint Member Training (COURSE 69004) Required to become a Team Site (collaboration) site owner.
- SharePoint Site Owner 1 (COURSE 69005) - Required to become a Team Site (collaboration) site owner.
- SharePoint Site Owner 2 (COURSE 69006) - Optional for Team Site (collaboration) site owners.
AIM (Teacher Appraisal System)
Appraiser Access - Appraiser access is granted only under the following conditions:- Principal must submit the request via IT Forms
- Appraiser must be in a board certified position
- Appraiser must attend TADS Appraiser training course
- Appraiser must not be currently teaching courses with measures assigned
Teacher Access - Teacher access is automatically granted to all teachers with a teacher role in OneSource.
Principal Access - Principal access is automatically granted to all principals with a principals role in OneSource.

The HUB Principals, Area Superintendents, Area Directors, and SSOs automatically have Campus HUB Admin access.
Teachers automatically have access to the HUB and the courses assigned to them in the Student Information System. Teachers will not have access to view courses / students in the HUB until 2-3 business days after course schedules are entered into HISD Connect by the campus.
Students Access: Students can log into the HUB 24-7 from any device with Internet access using their HISD login and password.
Admin access: Campus HUB Administrators must be designated by the campus Principal via iDelegate. After the designation is submitted, the designee will receive a welcome email and the HUB Administrator packet.

All campus staff automatically have access to the Campus Cloud Site for their designated campus. A site administrator may be appointed by the Principal usingiDelegate . Three levels of training are available for HISD Staff members interested in learning how to manage or contribute to a Campus Cloud site. Please login to OneSource and click the OneSourceMe tab to search and register for training sessions.
- SharePoint Member Training (COURSE 69004) - Required to become aTeam Site or Campus Cloud site owner.
- SharePoint Site Owner 1 (COURSE 69005) - Required to become aTeam Site or Campus Cloud site owner.
- SharePoint Site Owner 2 (COURSE 69006) - Optional for Team Site (collaboration) site owners.
HISD Connect HISD Connect (Admins):
- Principal role is automatically assigned.
- Other roles must be requested by the principal,ing the SIS Access Request Form.
PowerTeacher Pro (Teachers)
- Teacher role is automatically assigned.
- Yo uwill have access when you are assigned as teacher of record in HISD Connect.
OnTrack Students and Teachers may access HISD's through the Hub Digital Resources Assessment Category or throughwww.houstonisd.org/ontrack

Optimizing performance of your HISD laptop
Defragment and Optimize Your Drives
Optimizing your hard drive on a regular basis helps your computer run more efficiently by cleaning out unnecessary files and clearing up storage space.
- In the search box on the taskbar, type Defragment, and select Defragment and Optimize Your Drivesfrom the list of results.
- Select the drive you want to optimize.
- When the process is complete, click Close
Note: You can also schedule this process to occur automatically (daily, weekly, monthly, etc)

Camera / microphone doesn't work in Teams
Laptop
If you're using an HP laptop and are unable to use your microphone/speaker/webcam with Microsoft Teams, try the following:
- Open Device Manager
- Select Sound, video, and game controllers
- Right click Conexant ISST Audio Device
- Click Uninstall, then click Uninstall again when prompted
- If you're also having issues with your Webcam, then continue to step 6. Otherwise, skip to step 8.
- Select Cameras
- Right click on your webcam (for example, HP HD Camera)
- Select uninstall, then click on uninstall again when prompted
- Restart your Device
- Windows will automatically detect and reinstall the appropriate drivers.
Teams should now detect the microphone or webcam
Chromebook
Method 1 – Universal Settings
- Open the Chrome Browser
- Click on the three dots (or green arrow) in the upper right corner
- Click on Settings
- Scroll down to Privacy & Security
- Click Site Settings
- Scroll down to Permissions
- The setting for Camera and Microphone should each read "Ask Before Processing". If not, click on this setting to activate it
Method 2 – Site Settings
This method may also be helpful if the universal settings don't work.
- Go to the web-based version of Teams via office365.houstonisd.org
- Click on the Lock to the left of the URL
- Click on Site Settings
- Scroll down to Permissions
- Camera and Microphone should be set to "Ask(default)"
- They can also be set to "Allow"
